Rules & Expectations
Applicants must agree to all of the following conditions listed below in order to become a vendor. Last updated 1/11/26
Application
- All vendors who wish to sell at any events planned by Constellation Events LLC must complete and submit an application.
- Submission of an application does not guarentee acceptance.
- The Event coordinator will review each application to determine vendor suitability.
- Vendors deemed unacceptable will be notified via email.
- Vendors may sell only the items listed and approved on their application.
- A separate application is required for each event.
- Vendors are solely responsible for complying with all local, state, and federal licensing, permitting, tax, and regulatory requirements.
- Applications are acknowledged immediately upon submission.
- Acceptance decisions will be communicated within 5 business days of submission.
Payment
- The $10 application & processing fee is incorporated into the booth fee price, and is non-refundable
- Booth fees are the following:
- 10' x 10' booth: $125
- 10' x 20' booth: $250
- Food truck: $150
- VIP Package add-on: $50
- Booth fees must be paid within 21 days of application approval or no later than 21 days prior to the event date, whichever occurs first. Failure to pay on-time will result in loss of application fee and booth space.
Refunds & Cancellations
- The $10 application & processing fee is non-refundable.
- Cancellations made more than 14 days prior to the event date are eligible for a partial refund equal to 50% of the booth fee.
- Cancellations made within 14 days of the event will forfeit the full booth fee. There are no refunds for cancellations made within 24 hours of the event.
No call / No show
- Vendors who fail to attend an event without notifying the Event Coordinator will be marked as a No Call / No Show.
- No Call / No Show incidents may result in loss of future space assignments or permanent removal from Constellation Events LLC markets.
- Vendors who notify management in advance of a cancellation will not be penalized beyond the refund policy above.
Weather & Force Majeure
- Events operate rain or shine unless conditions are deemed unsafe.
- Vendors choosing to cancel due to weather must notify management per the No Call / No Show policy.
- If severe weather or uncontrollable circumstances require event cancellation, vendors will be notified via email and/or social media.
- In the event of cancellation by Constellation Events LLC due to weather or force majeure, vendors will receive a credit valid for one future event, usable within 12 months.
- No cash refunds will be issued for weather-related cancellations.
Space Assignments
- Vendors must accept the space assigned by the Event Coordinator.
- Space assignments are made upon full payment. Assignments are randomized; specific location requests are not guaranteed (see VIP package).
- Reasonable accommodations may be considered on a case-by-case basis.
VIP Package
- VIP package add-ons are limited per each event. This event allows no more than 40 VIP packages.
- VIP package includes:
- Early load-in beginning at 0700
- Guaranteed corner booth
- Social media spotlight (group post format)
- Corner booths are distributed throughout the event and may be located near entrances, main isles, or interior areas.
- VIP status does not guarantee proximity to a specific entrance or feature.
Event & Community Sponsorship Packages
- Sponsorship packages do not include the right to sell, distribute products, or collect payments at the event unless explicitly stated in writing by Constellation Events LLC.
- Multi-level marketing (MLM), direct sales companies, pyramid-based programs, or recruitment-focused businesses are not eligible for sponsorship or vendor participation.
- Sponsorships may not be used to promote political parties, political campaigns, religious organizations, or ideologically affiliated movements.
- Approved sponsors may distribute branded materials or promotional items only.
- Active selling, lead harvesting through aggressive solicitation, or disruptive marketing is not permitted.
- Any email, contact, or data collection must be clearly disclosed to attendees and must comply with applicable privacy and marketing laws.
- Constellation Events LLC is not responsible for sponsor data practices.
- Sponsor placement, visibility, and activation locations are determined solely by the Event Coordinator and may vary by event layout.
- All sponsors must align with the mission, values, and audience of Constellation Events LLC. We reserve the right to approve or deny any sponsor at our discretion.
- Constellation Events LLC reserves the right to revoke a sponsorship without refund if a sponsor violates event rules, misrepresents their business, or engages in conduct deemed harmful or disruptive.
- Sponsorships may not be transferred, shared, or resold to another business or individual.
- Event Sponsorship package ($75) includes: Business name included on website & promo flyer, 1 x Group thank you post on social media.
- Community Sponsorship package ($300) includes: Business name & logo included on website & promo flyer, 1 x Solo thank you post, Booth at event.
Arrival & Set Up
- Set up will begin no earlier than 2 hours prior to event start time unless otherwise stated.
- Failure to comply may result in longer wait-times for you and your fellow vendors. Vendors must arrive based on arrival preference selected in the above application.
- VIP package vendors may arrive as early as 0700 for set up
- Standard vendors may arrive between 0730 - 0830 depending on the time selected above.
- Repeated late arrivals may result in permanent dismissal from future events.
- Electricity is not guaranteed.
- Vendors must bring all necessary setup materials, including but not limited to: Tents, Tables, Chairs, and Weights
Tents
- Tents larger than 10x10 are not permitted.
- Each leg must be weighted with a minimum of 25 lbs. No staking is permitted.
- Weights must be secured to each leg and rest on the ground (no dangling).
- Acceptable weights include
- 5 gallon bucket of sand or concrete
- Commercially available tent weights
- Sand bags or salt bags
Electricity
- Electricity and Wifi are NOT guaranteed
- Permitted equipment includes fans (no heat), lighting, and craft-related tools.
- Vendors requiring power are encouraged to bring a quiet generator.
Food Trucks
- While a Certificate of Insurance is not required, it is HIGHLY recommended. Constellation Events LLC is not responsible for lost or damaged products or items within your set up.
- Vendors must provide:
- A fire extinguisher
- Photo of your setup (grill, table, trailer, etc)
- Description of what equipment you will bring (propane, fryer, grill, griddle, generator)
- Dimensions of food truck / trailer
- Any other licenses, permits, or other requirements for food trucks to be in compliance with County, State, and Federal laws.
- Food trucks are highly recommended to arrive at 0700 to ensure there are no issues with maneuvering into the designated space.
Note: Prepared-onsite food vendors outside of food trucks are not authorized for this event.
Prepackaged / Prepared Food
- Vendors must comply with Florida Cottage Food laws is applicable.
- Proper labeling and allergen disclosure required.
Products
- Vendors may sell only approved products listed and photographed on their application.
- MLMs, direct sales companies, franchises, and large corporations are not permitted.
- Political or religious advocacy booths may be permitted on a case-by-case basis.
- Alcohol sales & consumption is strictly prohibited.
Clean-up & Breakdown
- Vendors must keep their area clean and sanitary; All trash must be disposed of properly.
- Vendors producing excess waste are responsible for disposal.
- Vendors must remain present for the entire event.
- Early departure without approval may result in dismissal from future events.
- If a vendor must leave early due to low stock or other reasons, they must notify the event coordinator immediately.
Liability & Indemnification
- Vendors participate at their own risk.
- Constellation Events LLC, its owners, staff, volunteers, venues, and partners are not responsible for loss, theft, damage, injury, illness, or accidents involving vendors, staff, customers, or property.
- Vendors agree to indemnify and hold harmless Constellation Events LLC from any claims, damages, liabilities, or expenses arising from their participation, products, equipment, or conduct.
- Vendors are strongly encouraged to carry their own general liability insurance.
Conduct & Enforcement
- Vendors must behave professionally and respectfully.
- Price-fixing, collusion, harassment, or disruptive behavior is prohibited.
- Violations may result in immediate removal without refund.
- Failure to comply with these rules may result in permanent exclusion from future events.
- The Event Coordinator reserves the right to enforce these rules at their discretion.
